In InventoBee IT, access management is organized around roles: each role defines exactly which assets, locations, inventories, reports and settings its assigned users can access, and what actions they can perform (read, modify, approve). Roles are easy to assign to users and reusable, and the user base can be bulk-imported. The system also supports directory integration, so users can be managed directly within the software or through Active Directory.

In InventoBee IT, assigning and returning assets takes just 1-2 steps: pick the user or location, select the assets to hand over, and the system automatically generates a handover receipt that can be digitally signed. The process varies by location type: assigning to a warehouse triggers a warehouse movement, assigning to a location without a manager simply places the assets in one step, and for locations with a manager, the manager signs the receipt and takes responsibility for the assets during inventory. Every assignment and return carries its own history, and users see on their dashboard which assets they currently have.

Disposal is not a single click — it's a controlled, approved workflow. The initiator registers the asset and the reason, a user with the disposal-approval role reviews and approves, and finally the asset is removed from the active inventory while its full history is preserved for auditability. Disposal documents are generated automatically, and removed assets appear in a separate report — keeping accounting, environmental reports and inventory accurate.
